What an IMEI actually gives you

The IMEI is a 15-digit number unique to every handset. Dial *#06# on any phone and it appears. It is printed on the box and usually inside the SIM tray.

For a shop, it is the only thing that turns "a phone" into "this phone". Without it, every conversation about warranty, returns, faults or ownership is one person's word against another's. With it, those conversations end in ten seconds.

Capture it twice: in and out

IMEI tracking only works if you record it at both ends of the handset's life in your shop.

At goods receipt, scan or type the IMEI of every unit as it enters stock, against the purchase invoice it arrived on. This takes about eight seconds per handset and it is the step most shops skip.

At sale, the IMEI goes onto the customer's invoice. Now the unit has a complete history: which supplier, which consignment, what you paid, what you sold it for, to whom, and on what date.

The four moments it pays for itself

You will not think about IMEI tracking most days. Then one of these happens:

  • A customer returns a phone six months later claiming it is under your warranty. You check the IMEI: either it is your invoice or it is not. No argument.
  • A batch turns out to be faulty. You pull every IMEI from that consignment and know exactly which customers to contact — before they contact you.
  • A handset goes missing from the display. The IMEI never appears on a sale, so you know within a day rather than at the annual count.
  • A customer disputes which model or variant they bought. The invoice carries the IMEI; the IMEI carries the exact specification.

Doing it without slowing the counter

The objection is always the same: we are busy, we cannot type 15 digits per sale. Fair. Three things make it fast enough that the objection disappears.

First, capture at goods receipt, not at sale. Receiving stock is a calm task done at the back; selling is not. If the IMEI is already in the system attached to the unit, the sale is just picking that unit.

Second, scan rather than type. Most handset boxes carry the IMEI as a barcode. A ₨6,000 scanner removes the typing and the typos.

Third, let the system validate. A 15-digit IMEI has a check digit; software can reject a mistyped number immediately instead of storing a wrong one you will discover during a warranty claim.

What to do about second-hand and exchange units

Trade-ins and used handsets are where most Sri Lankan phone shops carry real risk, and where IMEI records matter most.

Record the IMEI of every unit you take in, along with the seller's name and NIC. This is not bureaucracy — it is the record that protects you if a device you resold turns out to have been stolen before it reached you.

Keep the incoming unit and the outgoing unit linked on the same transaction, so an exchange shows both IMEIs. When someone comes back three months later with a question, the whole trade is on one screen.

From spreadsheet to system

Plenty of shops start with an IMEI column in Excel, and it works until two people need it at once or until you need to search 4,000 rows during a busy Saturday.
