Privacy Policy

This Privacy Policy explains how SellMate (sellmate.lk), operated by NextWaves Software ("we", "us"), collects, uses, stores and shares information when you use our websites, cloud POS / business management platform, and connected services such as Facebook Lead Ads, WhatsApp Business and courier integrations.

1. Who this applies to

  • Business customers who create an organization account on SellMate
  • Staff users invited into a customer organization
  • End customers / leads whose data is processed by a business using SellMate
  • Visitors to our marketing website (sellmate.lk)

2. Information we collect

Depending on how you use SellMate, we may process:

  • Account data: name, email, phone, business name, branch details, billing information
  • Operational data: sales, inventory, job sheets, courier shipments, customer records entered by the business
  • Meta / Facebook Lead Ads data:when a business connects Facebook, we receive lead form submissions (e.g. name, phone, email and other fields the lead submitted) via Meta's APIs and webhooks, solely to show those leads inside that business's SellMate account
  • WhatsApp / messaging data: message content and phone numbers required to operate inbox / order features when enabled
  • Technical data: IP address, device/browser type, logs needed for security and support

3. How we use information

  • Provide, secure and improve the SellMate platform
  • Sync and display Facebook leads and related courier / order workflows for the connecting business
  • Customer support, billing and service communications
  • Detect abuse, prevent fraud and meet legal obligations

We do not sell personal data. Facebook lead data belonging to one organization is not shared with other organizations.

4. Sharing & processors

We may share data with:

  • Infrastructure providers (hosting, databases, email/SMS) under contract
  • Meta Platforms when a business authorizes Facebook / Instagram / WhatsApp connections
  • Courier partners when a business creates shipments
  • Authorities when required by law

5. Retention

We retain account and operational data while the organization subscription is active and for a reasonable period afterward for backups, disputes and legal requirements. Businesses can request deletion of their organization data (see our Data Deletion page).

6. Security

We use industry-standard safeguards including encrypted transport (HTTPS), access controls, multi-tenant data isolation and audit logging. No method of transmission or storage is 100% secure.

7. Your rights

Depending on applicable law, you may request access, correction or deletion of personal data we hold. End customers should usually contact the shop / business that collected their data first. You can also email us at nextwavesoftwarehr@gmail.com.

8. Children

SellMate is a business platform and is not directed at children under 16.

9. Changes

We may update this policy from time to time. The "Last updated" date at the top will change when we do. Continued use of the service after updates means you accept the revised policy.
